Office of the Town Clerk

The Town Clerk provides the residents of Portola Valley, the Town Council and staff with access to public records and ensure all facets of agenda preparation, public meetings, and municipal elections are conducted according to State law. The Town Clerk records official actions and legislation of the Council, documenting the proceedings of meetings and retaining other legal and historical records, such as the Town Council's Minutes, Ordinance and Resolutions.  The Clerk is the Town Compliance Officer for federal, state, and local statutes including the Political Reform Act, the Brown Act, and the Public Records Act.

Public Records

The Town Clerk is the Official Custodian of all Town records and is responsible for records management for the Town, managing the maintenance and disposition of Town records and information.  Prior to submitting a Public Records Request, please review the Town's Document Archive Page

To submit a Public Records Request please fill out this form.  Please note due to staffing shortages, requests for public records may take up to 10 days to respond to and extensions of time are permitted by law.  However, staff will do its best to fulfill requests in a timely manner.  The Clerk is responsible for updating the Town's Municipal Code.

Elections - (Even Years)

Portola Valley is a General Law City that holds its elections during the month of November in even-numbered years. The Town elects five, at-large Councilmembers to four-year terms. The Mayor and Vice Mayor are selected by the Town Council to one-year terms in December.  Municipal election information can be found on the Elections page

Commissions and Committees

The Town Clerk also recruits for members of its Town Committees.  Committees are comprised of volunteers who advise the Town Council on different subject matters. If you are interested in serving on a Committee, please submit an application.

Solicitation Permits

Solicitors are required to obtain a permit to solicit door-to-door in Portola Valley and are allowed only for very specific reasons. The Town Clerk manages solicitation permits. Please apply or view the solicitation policy on the solicitation page
